This article explains how a guest withdraws their consent under GDPR by setting Privacy Opt In to No, and what RMS does to the guest profile when they do.
Before You Begin
The opt-out is only available when GDPR is activated for the property. To activate it, go to Setup > Property Options > General Information, open the GDPR tab and select Activate GDPR Settings. See Enable GDPR.
A guest cannot opt out while:
- they are linked to a current or future reservation
- their departure date is within the number of days set in 'Privacy Opt In' to be read only up to on the GDPR tab
- their account has a balance, whether owing or in credit
In these cases Privacy Opt In is read only and cannot be changed.
How a Guest Opts Out of the Privacy Policy
Under GDPR regulations, individuals have the right to withdraw their consent to the collection or retention of their personal information.
Guests with access to the Guest Portal can withdraw their consent themselves:
- Sign in to the Guest Portal and open the Profile menu and select Edit Profile.
- Untick 'I agree with the Privacy Policy'.
- Select Save Profile.
- Select Yes in the warning to confirm.
What Happens When a Guest Opts Out
The Guest Portal shows a warning when the guest saves their profile with this option unticked, and the guest will need to confirm the anonymisation of their personal information.
Once confirmed, RMS anonymises the guest record. RMS removes details that could identify the guest from both the guest profile and their reservations, and replaces the guest's information with the word 'Anonymous'. This cannot be reversed, and the guest cannot make further reservations through the Guest Portal.
Opt Out on Behalf of a Guest
RMS users can anonymise a guest profile on the individual's behalf by changing 'Privacy Opt In' to 'No' in the Guest Details on the guest profile. RMS asks you to confirm before it anonymises the record. The same conditions apply as for the Guest Portal, and there is no separate Security Profile option for this field.
