This article describes the Gift Card Report, which lists every Gift Card transaction so you can track purchases, redemptions, and remaining balances.
The Gift Card Report lists every Gift Card transaction recorded in RMS, whether sold through the Gift Card Portal, the RMS Booking Engine, or the Guest Portal. It exports directly to CSV.
Use Cases
- Reconciling Gift Card sales - export the report at month end to check purchases and redemptions against your accounting records.
- Tracking a specific Gift Card's history - use the Transaction description and Transaction Comment columns to trace a Gift Card from purchase through to redemption.
- Checking outstanding balances - see how much credit remains on Gift Cards that have been partially redeemed.
How to Access
In the side menu of RMS, go to Reports > Accounting > Gift Cards.
- Select the Date Range.
- Select Export to CSV.
Report Options
| Report Option | Type | Description |

| Date Range | Date range | Limits the report to Gift Card transactions posted within the selected date range. Defaults to Yesterday. |
Column Headers
| Column | Description |
|---|---|
| Creation Date | The date the Gift Card was bought. |
| Guest No | The guest profile the Gift Card transaction was posted to. |
| Guest Name | The name on the guest profile. |
| Res No | The reservation the Gift Card amount was redeemed against, where applicable. |
| Property Name | The property the Gift Card is being used at. |
| Transaction Description | The description from the originally posted transaction. |
| Transaction Comment | The comment from the originally posted transaction. |
| Credit Amount | The value of the Gift Card when it was purchased. Shown as a negative number - RMS accounting convention for a credit owed to the guest. |
| Redeemed Amount | How much of the Gift Card has been used. |
| Date Redeemed | The date the Gift Card was redeemed. |
| Balance Amount | What's left on the Gift Card. Also shown as a negative number. |
Tip! This report can only be exported to CSV - there's no on-screen table view.
Please Note! This report does not have a dedicated expiry date column. The Gift Card's expiry date may appear as part of the Transaction Comment text, but it cannot be filtered or sorted on. To check a Gift Card's expiry date, use the Accounting > Gift Cards search screen instead.
