Data Validation ensures that the data entered into a system is accurate, complete, and reliable. This helps prevent errors that could arise from incorrect data.
For instance, ensuring that numeric fields contain numbers, date fields contain valid dates, or categorical fields follow the specified categories is important for consistency.
Trial imports allow you to import your data into the Training Environment for review to verify that the data is clean, consistent, and conforms to expected patterns before importing data into the live production environment.

Import File Validation
All data import files should be validated within the RMS Training environment to confirm the correct required format.
- Navigate to Tools > Data Imports.
- Select a Property.
- Choose the appropriate 'File Type' for the data import.
- Select the 'Browse' button to locate the Import File on your computer.
- Select the Import File.
- Click 'Open' to complete the file upload.
- Select 'Validate' to confirm the data is in the required file format.
- Review the Validation Results.
Important! When performing the data validation, it’s important to address unsuccessful line items promptly to ensure the file is accepted by RMS. Any unsuccessful results will specify which line items failed validation and the reason for the failure.
Please Note! Validate confirms the file's structure (column count, required fields, date formats) but does not catch every possible issue. Some errors - such as text that exceeds a field's maximum length, invalid Yes/No values, or references to master list entries that do not exist in RMS - may pass Validate but still cause problems at Import. Always review the imported records in RMS after the Trial Import to confirm the data is correct.
Please Note! Validate can also be more strict than Import in some cases. A row flagged in the Validate Results table - for example, with the error Specified Rate Type Is Missing From Database - may be accepted by the Import step and successfully created in RMS. After running Import, always confirm via the import-specific validation steps in each data import article that every expected record landed - some Validate warnings can be safely disregarded once Import completes.
Trial Import
Once the file passes all validation checks, it is considered ready for the next phase. This ensures that only data that meets quality standards is moved forward. The validated file is then imported into the Training Environment for further review to ensure the integrity of the imported data.
Please Note! Depending on the data import file type selected, there may be additional options to select from upon importing.
For instance, some may offer options for data not currently existing to be added to a master list in RMS. While others may offer an option to include or exclude the imported data to existing security profiles, discounts or requirements.
- Select the 'Import' button to begin the data import in the Training Environment.
- Review the warning message and select 'Yes.'
- Review the Import Results.
Tip! Once all import results are successful, review the data using the relevant screens or by generating a report.
