Information on the Category Import to RMS, and the data required.
Overview
A Category defines the type of physical space available for reservations at the property. The behaviour and features of an Area are determined by the Category Classification entered on the Category import.
The Category import provides a convenient method for transferring all rental categories into RMS.
This article outlines the requirements for the Category Import feature in RMS.
Import Overview
- The import file must be in a comma delimited CSV format.
- Microsoft Excel is able to save using a CSV format that should match these requirements.
- The fields within this file must not contain commas.
- RMS is able to determine whether the first record is a header record.
Import Options
The Category Import screen surfaces four Include / Exclude options that control how the imported Categories are linked to the existing configuration on the property:
- Discount Validation - Include or exclude the imported Categories from existing Discount validation rules.
- Requirement Validation - Include or exclude the imported Categories from existing Requirement validation rules.
- Triggered Correspondence Rules - Include or exclude the imported Categories from existing Triggered Correspondence rules.
- User Profiles - Include or exclude the imported Categories from existing User Profile / Security Profile permissions.
The default for each option is Exclude. Change to "Include" only when the new Categories should immediately participate in the existing Discounts / Requirements / Triggered Correspondence / Security Profiles configured on the property.

Category Classes
The selected classification for the category defines its type and determines the options and features available for both the category and any areas within it. The category classification must be assigned one of the following numerical values:
- 0 = Facility
- 1 = Accommodation
- 3 = Dock
- 4 = Site
- 5 = Add Ons
- 6 = Ticketing / Tours
Import Validation
To ensure that your data is clean, consistent, and ready for the Live production environment after it has been validated and imported into the Training environment, follow these steps:
- Navigate to Setup > Category / Area for data review.
- Select 'Edit' on a Category.
- Verify the Short Description.
- Review the Long Description.
- Review the GL Acc Code assignment.
- Examine the Class and any additional fields included in the category import file.
