This guide explains how to edit an existing Rate Lookup in RMS to change the Rate Type, Category, Area, Rate Period or Rate Table it links.
Overview
A Rate Lookup links a Rate Type, a Rate Period and a Rate Table to a Category, or to a single Area within a Category, so RMS can calculate the rate for a reservation. Editing a Rate Lookup changes that link in place, for example to point a Category at a new Rate Table or a different Rate Period, without creating a second Rate Lookup.
Rate Lookups are edited from the Rate Manager. To add a new Rate Lookup instead, see Create a rate lookup.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Before You Begin
Editing a Rate Lookup only changes which existing rate records it links, so check the following before you start:
- The Rate Type, Rate Period and Rate Table you want the Rate Lookup to use already exist. See Rates: Initial Rate Setup to create them.
- The Rate Type and Rate Table use the same Rate Structure (OTA or Direct). A Rate Lookup can only link a Rate Type and a Rate Table that share a Rate Structure.
Editing a Rate Lookup
A Rate Lookup is edited from the Rate Lookups list in the Rate Manager, using the Edit Rate Lookup screen.
In the side menu of RMS, go to Charts > Rate Manager.
- Select Rates.
- Select Rate Lookups.
- Select the required Rate Lookup.
- Select Edit.
- Edit the Rate Type, Category, Area, Rate Period or Rate Table as required.
- Select Save/Exit.
Tip! To find a Rate Lookup in a long list, type the Category name in the Search box at the top of the Rate Lookup window and press Enter.
Please Note! Changing the Rate Type clears the Rate Table, and the Rate Table list then shows only the Rate Tables available for the new Rate Type. Changing the Category clears the Area. Select a Rate Table or Area again before saving.
Rate Lookup Fields
The Edit Rate Lookup screen has five fields, and each field holds one value. When editing, the Area field can be set to (All) or to one Area in the selected Category.
| Field | What it sets |
|---|---|
| Rate Type | The Rate Type the Rate Lookup prices. |
| Category | The Category the Rate Lookup applies to. |
| Area | (All) applies the Rate Lookup to every Area in the Category. Select one Area to apply it to that Area only. |
| Rate Period | The Rate Period (date range) the Rate Lookup applies to. (All Year Round) applies to every date. |
| Rate Table | The Rate Table that sets the rate amounts. |
Please Note! If a Rate Lookup for the whole Category (Area set to (All)) exists for the same Rate Type and Rate Period, RMS uses it instead of a Rate Lookup for a single Area. A Rate Lookup edited to a single Area does not take effect while the Category-wide Rate Lookup is in place. See Rates: Rate Hierarchy for how RMS chooses between Rate Lookups.
Changes and Existing Reservations
Editing a Rate Lookup changes the rate setup for new reservations created after the change is saved. Existing reservations keep their current rate unless the rate is recalculated on the reservation or the Recalculate Future Rates tool is run.
Viewing Changes Made to a Rate Lookup
The Audit Trail on the Edit Rate Lookup screen lists the changes made to a Rate Lookup. To view it, select the Rate Lookup, select the Edit icon, then select Audit Trail. Each change shows the Date, Field Modified, Old Value, New Value and Username, and the list opens showing the last 30 days.
