This guide explains the SMS compliance wording your property must add to its own Privacy Policy and Terms & Conditions, how to publish those pages on your own website, and how to supply the web addresses to RMS.
Overview
Before your property can send SMS to guests with United States mobile numbers, the toll-free number used to send those messages must be verified with the mobile carriers. Part of that verification checks the Privacy Policy and Terms & Conditions a guest sees when they opt in to receive messages.
Carriers require those documents to belong to your own business and to contain specific SMS compliance wording. Your property adds the wording, publishes the pages on its own website, and supplies the web addresses to RMS with the verification request.
Important! RMS corporate policy documents cannot be used in place of your own. The carrier checks that the web address belongs to the business being verified, so a submission for Hotel ABC must use addresses such as www.hotelabc.com/privacy-policy. There is no RMS-hosted alternative.
Please Note! This applies to properties sending SMS to guests with United States mobile numbers. See Supply your SMS opt-in evidence for toll-free verification (USA) for the screenshots that go with the same verification.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
What your property needs to do
- Add the approved wording below to your own Privacy Policy and Terms & Conditions.
- Publish those documents as live pages on your own website, open to anyone with the address.
- Supply the web addresses to RMS with your toll-free number verification request.
Important! RMS cannot host these pages for you, and cannot make changes to your website or troubleshoot it. The property owns the content and the website change.
The approved compliance wording
Two blocks of wording are required. Add them exactly as written.
Important! Do not alter this wording. It matches the evidence already approved by the carrier, so any change has to go back through compliance review before you submit. If the wording does not fit your existing policy, contact the RMS Support Team before you publish it.
Block 1: Privacy Policy only
Add this to your Privacy Policy:
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Tip! This block refers to "all the above categories", so place it after the section of your Privacy Policy that lists the categories of information you share.
Block 2: Privacy Policy or Terms & Conditions
Add this to either your Privacy Policy or your Terms & Conditions. Both locations are accepted, so use whichever fits your existing documents better.
We operate a campaign that sends opted-in subscribers marketing/promotional offers, booking confirmations. Message frequency will vary. Reply HELP for more information or contact our reservations desk on the number provided. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages. Reply STOP to opt out.
Publish the wording on your own website
The wording only counts once it is live on a page anyone can open. How you publish it depends on who looks after your website. These are the common routes:
- Your website content management system. If your team edits the website directly, add or update the Privacy Policy and Terms & Conditions pages there. Platforms such as WordPress, Wix, Squarespace, GoDaddy Website Builder and Shopify all work this way.
- Your web agency or developer. If an agency built or maintains your website, send them the wording and ask them to update the relevant pages.
- Your hospitality website vendor. If your website came with your booking platform or a hotel website provider, raise a support request with that vendor.
- Your hosting control panel. A technical team can upload a static page through the hosting file manager.
What the carrier checks
A submission can be rejected if any of these is not met.
| Requirement | What is accepted |
|---|---|
| Your own business domain | The web address must belong to the business being verified. An RMS address, or one belonging to another business, is not accepted. |
| Open to anyone | The page must open without a login, a password, or staff-only access. |
| Full text on the page | The complete wording must be readable on the live page. A screenshot or an image of a policy is not accepted. |
| Matches your Booking Engine | The address you give RMS must be the same one your Booking Engine links to on the guest details page where the guest opts in. |
| Supplied to RMS | Both web addresses are submitted with your toll-free number verification request. |
Tip! Test each address in a private or incognito browser window before you send it. If you see a sign-in prompt or a page-not-found error, the carrier will see the same thing.
Supply the web addresses to RMS
Give RMS both web addresses with your toll-free number verification request:
- Your Privacy Policy web address.
- Your Terms & Conditions web address.
Enter each address in full, including the https:// at the start.
Important! These two addresses are mandatory on all toll-free verification submissions from 15 September 2026. A submission made without them after that date is rejected by the carrier.
Who does what
| Who | Responsible for |
|---|---|
| Your property | The policy content, the website change, the live pages, and giving RMS the final web addresses. |
| Your web team, agency or vendor | Publishing or updating the pages and making sure they open for anyone. |
| RMS | Submitting the verification to the carrier using the addresses you supply. RMS does not host the pages, edit your website, or troubleshoot website problems. |
Please Note! Keep the pages live and unchanged for as long as your property sends SMS. Carriers can re-check them after verification is granted. Tell RMS if either web address changes.
