This guide explains how to manually create and manage guest access in the Salto KS web portal when access is not being handled automatically through the RMS integration.
Overview
When the Salto KS integration in RMS is not yet configured or is temporarily unavailable, property staff can create guest users and generate PIN codes directly in the Salto KS web portal. All steps in this process take place in the Salto KS web application at app.saltoks.com, not in RMS.
Prerequisites
- Salto KS administrator access to your property's site in the Salto KS web portal.
- Access groups for each unit must already be configured in Salto KS, with the correct locks assigned to each group.
Step 1 - Add the guest as a new user
- Log in to app.saltoks.com.
- Navigate to Users in the left menu.
- Click Add Users in the top right corner.
- Select Manually when prompted.
- Enter the guest's email address.
- This field is optional - skip it if you do not have it.
- Click Next.
- Enter the guest's First name and Last name.
- Leave the Tag field blank.
- Click Next.
- On the Role and Rights screen
- Set the role to Site User.
- Leave all other options unchecked.
- Click Next.
- On the Access Groups screen, search for and select the access group that matches the guest's unit (for example, Unit 300 or Unit 301).
- Click Next.
- Review the User Overview.
- Confirm the details are correct, then click Add User.
The guest is now created and assigned to the correct unit's access group. The relevant locks are already configured in the group - no further lock setup is required.
Step 2 - Generate the guest's PIN code
- Go to Users and click on the guest you just created.
- Select the Keys tab on their profile.
- Click Assign a new PIN.
- Copy the PIN code immediately.
Step 3 - Share the PIN with the guest
Contact the guest via email, SMS, or your usual communication method. Include the following information:
- Their PIN code.
- Which doors it gives them access to.
- Their access start and end date and time.
Step 4 - Remove the guest after checkout
Remove the guest from the site after checkout to ensure they can no longer access the property.
- Go to Users and find the guest.
- Click the three-dot menu next to their name and select Delete, or open their profile and remove them from the access group.
Things to keep in mind
- PIN codes must be unique per guest. If two guests are assigned the same PIN, it will open all PIN-enabled locks on the site regardless of their individual access group settings.
- Access groups are already configured per unit. When adding a guest, you are assigning them to the correct group - you do not need to configure locks individually.
- PIN codes have a default expiry period set within the Salto KS platform.
