This article covers the Tour Availability Chart and the Control Panel - the two screens used to monitor and manage tour availability in RMS.
Overview
The Tour Availability Chart gives a real-time view of tour schedule capacity across a date range.
The Tour functionality within the Control Panel allows Users to adjust that capacity - and close or oversell specific tour schedules - without editing a tour's base configuration. Restrictions applied through the Control Panel take effect immediately on the Tour Availability Chart.
Tour Availability Chart
The Tour Availability Chart is the main screen for monitoring tour capacity day by day. It is separate from the standard Availability Chart, which covers accommodation and site rentals. The Tour Availability Chart draws only from tour and ticketing inventory.
To open it, go to Tour Tracking > Tour Availability Chart in the sidebar.
The toolbar across the top provides the following controls:
- Today - jumps the view to the current date
- 14 / 28 / 42 / 56 - switches the number of days shown in the grid
Tours and the Control Panel
The Tour functionality within the Control Panel allows property staff to manage the availability and capacity of tours without editing a tour's base configuration. Restrictions are applied to specific tour schedules and take effect immediately on the Tour Availability Chart.
Tours must be configured to 'Use Inventory' in order to use the Control Panel to change the inventory.
Three restriction types are available:
- Stop Sell - prevents the selected tour schedule from being booked
- Increase Inventory - adds a specified number of places to the tour schedule's available capacity (oversell)
- Decrease Inventory - removes a specified number of places from the tour schedule's available capacity
When applying a restriction, only tour categories are available for selection. Accommodation and other category types are not displayed.
Before You Begin
- The Tour Desk module must be active on your property.
- Your Security Profile must include permission to access the Control Panel. Contact your System Administrator if you are unable to access.
Restriction Types
| Restriction Type | Description | When to Use |
|---|---|---|
| Stop Sell | Prevents the selected tour schedule from accepting new bookings for the specified date range. | The tour session is fully booked, unavailable, or needs to be temporarily closed. |
| Increase Inventory | Adds a specified number of places to the tour schedule's available capacity. | Additional capacity can be offered beyond the tour's standard configuration. |
| Decrease Inventory | Removes a specified number of places from the tour schedule's available capacity. | Capacity needs to be reduced for operational reasons without changing the tour's base setup. |
Guide
In the side menu of RMS, go to Charts > Rate Manager.
- Select Control Panel.
- Select Add.
- Select the Tours tile.
- Select the Restriction Type -
- Stop Sell - closes the tour schedule to new bookings
- Increase Inventory - oversells the tour by adding available places
- Decrease Inventory - reduces the available places for the tour
- Enter the Date Range or select Set Permanently.
- Select the Channel 'House Use'.
- Select Next.
- Select the Tour Inventory Category.
- Select Next.
- Select the Tour Schedule.
- Enter the quantity of places to increase or decrease inventory only.
(This option displays only if the selected Restriction Type = Stop Sell). - Select Save/Exit.
Viewing and Removing Restrictions
Existing restrictions can be viewed in the Tour Control Panel. To remove a restriction, locate it in the restrictions list and select the delete option.
