This article explains how front office staff can log a maintenance job directly from the Reservation Screen in RMS, without leaving the guest's reservation.
Overview
Front office staff often receive maintenance requests from guests while managing a reservation - for example, a broken air conditioner, a leaking tap, or a faulty appliance in the room. Rather than switching to the Job Management screen, these jobs can be logged directly from the Reservation Screen using the Job Management toolbar icon.
Jobs raised from the Reservation Screen appear in Asset Maintenance > Job Management, where maintenance staff can view, assign, and track them alongside all other outstanding work.
Log a job from the Reservation Screen
- Open the guest's reservation from the Booking Chart or the Reservations menu.
- In the toolbar at the top right of the Reservation Screen, select the Job Management icon (the hammer icon).
- The Add Job form opens. The area associated with the reservation is automatically pre-populated in the Job For field.
- Complete the job details:
- Description - a brief summary of the issue reported by the guest
- Status - defaults to Reported
- Job Type - the category of maintenance work required (for example, Plumbing, Electrical, General Maintenance)
- Provider - the staff member or Service Provider to assign the job to
- Priority - Low, Medium, or High
- Required By - the date by which the job should be completed
- Work Required - any additional details about the work needed
- Select Save. The job appears in Asset Maintenance > Job Management for the maintenance team to action.
What happens next
Once the job is saved, it becomes visible in the Job Management screen where maintenance staff can:
- View the job details and the area it relates to
- Assign the job to a staff member or Service Provider
- Record parts, labour, and progress notes as the work is carried out
- Update the job status and close it once complete
