Configure and import Tour Schedules with pricing, date ranges, and day‑of‑week rules into the RMS Tour Desk.
Overview
The Tour Schedule Import is part 2 of 3 imports for the Tour Desk in RMS:
- Tour Import: Used to Import your Tours.
- Tour Schedule Import: Used to import the Tour Schedules and Price information. (Pickup information is configured separately in RMS and is not part of this import file.)
- Tour Links Import: Used to link a Tour with a Tour Schedule, and to a Guest or a Reservation.
Use the Tour Schedule Import to bulk‑create or update Tour Schedules and their pricing for Adult, Child, and Infant tickets over specific date ranges and days of the week.
Import Requirements
Information on the Tour Schedule Import requirements for RMS:
The import file must be in a comma‑delimited .csv format (Field Delimiter). A downloadable import template is available at the bottom of this article.
If a data field within this file contains commas, it should be surrounded with "double quotes" (Text Delimiter).
Microsoft Excel can save using a .csv format that matches these requirements.
The first row in your CSV file should be a header row containing the field names exactly as listed in the Import File Field Order table below. RMS will treat the first row as headers and will not import it as data.

About LegacyTour_id
The LegacyTour_id is used by RMS to link Tour Schedules to their Tours.
When you imported Tours using the Tour Import, each Tour record included a LegacyTour_Id value.
The same LegacyTour_id must be used here so that RMS can match each Tour Schedule to the correct Tour.
If you are migrating from a previous system, LegacyTour_id is typically the Tour ID from your legacy system that was used when creating the Tour Import file.
Ticket Name Fields
The RMSTicket_Name_Adult, RMSTicket_Name_child, and RMSTicket_Name_Infant fields should contain a short text description for each ticket type (Adult, Child, Infant), up to 50 characters.
Date Format
All date fields must use the format DD-MMM-YYYY (e.g., 25-JAN-2026).
Time Format
All time fields must use the format HH:MM:SS (e.g., 10:00:00).
Import Validation
After importing your Tour Schedules into your Training environment, validate the data before importing into Live:
In the Side Menu Search, search for “Tours”, or navigate to Setup > Tour Desk > Tours.
Edit a Tour.
Navigate to the Schedules tab.
Check to ensure that your Schedules, pricing, dates, days of the week, and durations are correct.
Select Save/Exit.
Downloadable Import File
The attached import file below contains the required file format for a Tour Schedule Import. Download the file and review the column headers. Populate the file with the Tour Schedule data, ensuring that each Tour Schedule’s information corresponds to the appropriate column.
