How to use the Daily Summary for inventory and availability management in RMS.
Overview
The Daily Summary provides a real-time snapshot of your property's inventory status, helping your team manage availability, prevent overbooking, and make faster decisions.
It displays key metrics including allotments (reserved inventory amounts), oversell limits (additional inventory you can sell beyond physical capacity), and detailed reservation activity across a two-week period.
Key Terms
| Daily Summary | A real-time inventory management view showing availability, reservations, and allotment status for your property. |
| Allotment | A reserved or committed quantity of inventory held for a specific purpose (e.g., guaranteed blocks to partners, non-guaranteed inventory for wholesalers). |
| Oversell Limit | The maximum amount of inventory you allow to be sold beyond your physical property capacity. Oversell values only appear once reservations exceed physical capacity. |
| Guaranteed Allotment | Inventory committed to partners with a guaranteed purchase obligation (e.g., wholesalers who must buy a minimum quantity). |
| Non-Guaranteed Allotment | Inventory allocated to partners with no purchase obligation; they can return unsold inventory. |
| Area | A grouping option in the Daily Summary that organizes your property's inventory by specified regions or sections (separate from category-level availability). |
| Category | A classification of inventory units (e.g., room type, suite class) used to track availability at the product level. |
| Out of Order | Inventory temporarily removed from availability due to maintenance or other operational reasons. |
| Quote Reservation | A provisional reservation in Quote status that holds inventory temporarily. Quote reservations do not reduce Total Available until their status changes to confirmed. |
How It Works
The Daily Summary operates as a control centre for inventory management. Here's how the key components work together:
- Real-time Availability Tracking: Displays current inventory by category, showing physical units available and any oversell capacity in use.
- Allotment Management: Tracks guaranteed and non-guaranteed inventory allocated to partners, helping you see exactly how much inventory is committed.
- Reservation Activity: Shows arrivals, check-ins, departures, and holds in one view so you can anticipate occupancy changes.
- Overbooking Control: Displays your maximum property oversell limit and alerts you when reservations approach or exceed physical capacity.
- Operational Visibility: Includes maintenance reservations (Out of Order) and quote status reservations that may impact availability decisions.
Daily Summary
In the side menu of RMS, go to Charts > Rate Manager.
Select Daily Summary.
Navigation
Use the Arrow icons to navigate through the dates in two-week intervals.
Statistics
Use the Stats filter to limit the view to availability data derived from Area Statistics.
Special Events & Promotions
The Special Events and Promotion rows are always displayed at the top of the Daily Summary to highlight any active events or promotions within the selected date range.
Availability
Availability displayed in the Daily Summary reflects category-level availability and does not represent the vacancy of any specific area.
The Total Available row shows the remaining physical availability at the property, excluding any Oversell Allotments. Oversell values will only appear once reservations exceed the property's physical availability.
Maximum Property Oversell
The Maximum Property Oversell row displays the overbooking limit for the property, indicating the maximum number of reservations allowed beyond its physical capacity.
Allotments
The Oversell Allotments, Guaranteed Allotments, and Non-Guaranteed Allotments rows provide a summary of each allotment type. These rows can be expanded to view detailed information about the associated Oversell Allotment, Group, or Travel Agent.
The allotment numbers display both the quantity used and the total available for each allotment type on the selected date.
Out of Order Reservations
The Out of Order row displays the number of maintenance reservations scheduled for the selected date.
Quote Reservations
The Quote row displays the number of reservations with a 'Quote' status for the selected date.
Reservations in Quote status do not reduce the displayed Total Available count until their status changes to Unconfirmed or Confirmed.
Summary
Each category row provides a summary of availability, oversell allotments, and guaranteed allotments for the selected category.
