Gift Cards Setup and Configuration

How to Setup and Configure RMS Giftcards for sale on your Website and RMS Booking Engine. 

 

⚠ Important: Gift Card Redemption Changes Starting mid-November 2025, gift cards will no longer be redeemable through the booking engine. You can still Purchase gift cards via the link and use gift cards onsite at your property. This feature will return in the future. To stay informed, "Follow" this article for updates.

 

Overview

Gift Cards provide prepaid vouchers that can be accepted as payment for reservations in RMS.

Gift Cards can be sold using the Gift Card Portal, RMS Booking Engine, or Guest Portal. 

The Gift Card Portal provides e-commerce of gift cards and vouchers when using RMS Pay or Windcave as the Payment Gateway.

The Gift Card Portal uses the Photos and Colours setup for the RMS Booking Engine.

Gift Cards can be purchased for an individual property or at the enterprise level to be used at any of the properties within the RMS database.

A Form Letter setup with the merge field <<GiftCard_Table>> must be selected to use as the Gift Card.

Gift Cards can be configured for up to four preset values with the option of allowing custom values.

Gift Cards can be setup to expire at the entered number of days, weeks, or years.

A custom Banner Image can be setup for the Gift Card Portal with a recommended image height of 170px.

⚠ Important: RMS Pay and Windcave are the only Payment Gateways that are compatible with the Giftcard portal. If you would like more information on RMS Pay, contact the RMS Sales team.

Guide

In the side menu of RMS, navigate to Setup > Portal Access > Gift Cards.

  1. Navigate to the 'General Options' tab.
  2. Select the checkbox 'Enable Gift Card Sale'.
    'Expose option for Gift Cards on the IBE' (Optional) 
    This will add the option to purchase a Gift Card via the Guest Portal
    'Allow a message to be added for the recipient. (Optional)
  3. Enter the 'Gift Card Amounts'.
  4. Select the 'Default' Gift Card Value.
    'Enable Custom Amount Option' (Optional).
    'Enter a Minimum value. (Optional)
  5. Select and enter the Gift Card Expiry Period.
  6. Enter the Payment Confirmation Text.
  7. Select the Form Letter to be used as the Gift Card.
  8. Select the Copy URL icon for the Gift Card portal link 'Copy URL' icon.
    This is the URL you can use to sell Gift Cards via your website.
  9. Select Save.

Optional Setup Items

Custom Banner Image

  • Navigate to the 'Banner Image' tab.
  • Select 'Add'.
  • Select an Image and choose 'Ok'

Gift Card Terms & Conditions.

  • Navigate to the 'Terms & Conditions' tab.
  • Enter the Gift Card Terms & Conditions.
  • Select Save/Exit.

The Gift Card Portal provides ecommerce of Gift Cards when using RMS Pay or Windcave as the Payment Gateway.
