How to verify your Email Domain and check your DNS records.
Overview
Domain verification in RMS ensures that the correct DNS records for the Property are used when sending emails from RMS.
An email domain is the part of the email address that comes after the '@' symbol. For most businesses, this is the same as the domain used for the Property website.
Verifying your email domain:
- Confirms that you have access to an email address on the submitted domain.
- Confirms that you are authorised to send emails from that domain.
- Removes the Sent from RMS on behalf of .... text in the sender field for outgoing emails.

Step 1: Add and Verify your Domain
- Navigate to Setup > Security.
- Select the Domains tab.
- Select the Add icon.
- Enter the Email address on the domain to verify.
Select Save (and click ok if prompted).
- Open the email sent from RMS and click the Verify Domain Access button.
Added Domains will be displayed in the list with their current Verification Status.
Step 2: Add DNS Records to the Hosting Provider
This part of the setup is completed outside of RMS.
Have your System Administrator or the person who manages your domain complete the following steps:
- Log in to your Hosting Provider (DNS Management portal) and navigate to the DNS section.
★ Tip: The DNS section may be listed under DNS, Networking or Zone Editor depending on the hosting provider used.
- Select Add Record and enter a TXT record for the property's email domain using the values provided on the domain screen in RMS.
- Create a second TXT record using the hostname shown in RMS. This will be similar to:
mx._domainkey.mail.yourdomain.com
- Save the DNS changes at your hosting provider.
✎ Please Note: It can take up to 24–48 hours for DNS records to be updated once the changes are made. During this time, the Verification Status in RMS may not immediately show as Valid.
Checking Verification Status
- Navigate to Setup > Security > Domains.
- Select the Edit icon to confirm the verified domain.
- When DNS is correct, the status column will show as Valid.
- If the status does not change to Valid after 24–48 hours:
- Confirm that the TXT records in your hosting provider exactly match the values shown in RMS.
- Check for extra spaces, incorrect hostnames, or missing records.
- If needed, contact your IT support
