Learn how RMS checks email addresses before sending to large groups.
Overview
Email Validation verifies the validity of an email address on a Guest Profile when sending to more than fifty recipients from Report Writer, In/Out Movements, or as an EDM campaign.
- A small fee is charged to complete the email validation process.
- An email address will have a validation date set, which is kept on record to prevent validating an already verified email address.
- Modifying or replacing the email address on a Guest Profile will reset the Email Validation Date.
- Email Validation will only be prompted for an email address where no validation date is set when sending to more than fifty recipients from Report Writer, In/Out Movements, or as an EDM campaign.
Why it matters
Email Validation ensures that correspondence sent in RMS to a large mailing list does not result in a high volume of bounce backs due to an invalid email address, which also prevents the property's email domain from being blacklisted or marked as a spam sender due to sending large volumes of emails to invalid email addresses.
Tip! An email address remains valid for twelve months or until it is modified on the Guest Profile.
Example
A prompt for Email Validation will appear on send in Report Writer, In/Out Movements, or for an EDM campaign, where:
- The number of recipients selected is greater than 50, and
- Any of the selected recipients has an unvalidated email address.
Actions
- Selecting Cancel will cancel the Email Validation, and no emails will be sent.
- Invalid email addresses will be removed from the Guest Profile, and a .csv file will be downloaded with the details of the affected records.
- An Email Validation Date will be set on the Guest Profile when the email address passes validation.
