Easily create engaging email marketing campaigns with the Campaign Editor in RMS. This powerful tool allows you to design professional, branded emails using a diverse selection of customisable elements and options.
With the ability to craft tailored campaigns, you can send them to mailing lists created in Report Writer. Plus, track campaign performance effortlessly with comprehensive reporting features.
Before you can send a Campaign, you will need to have activated the EDM Module. If you do not have the EDM Module activated, please email our Sales Team for activation. sales@rmscloud.comÂ

Basics & Navigation
Navigate to EDM > Create Campaign in the side menu of RMS.
- Select the
'Add' icon to create a new campaign layout.
- Select an existing campaign and choose the
'Edit' icon to modify, the
'Copy' icon to duplicate or the
'Delete' icon to permanently remove the campaign.

Content Elements
The campaign editor features a library of elements that can be used to customise and design your email campaigns.

| Text inserts a text box anywhere within the email layout and includes a miniature WYSIWYG editor to format the inserted text. Use the Insert Merge Field button and the 'Details' section to apply advanced HTML and CSS formatting to text within the inserted text box. | |

Image inserts an image placeholder that can be replaced by any image in the Image Gallery. Select the image placeholder and choose the Image Details include image size options, mobile responsiveness, image alignment, padding, margins, border and the ability to set a background image. |

| Button inserts a clickable button that will open the entered URL with additional options to change the display of the button. | |
| Divider inserts a decorative spacing element with advanced display options to change its design. | |
| Social inserts a row of four buttons for common social media sites that can be linked to custom URLs. Additional icons for a library of social networking sites can be added in the advanced details section with additional display options available. | |
| Video embeds a playable video using the URL source entered with display options. | |
| The Block element is used to structure sections of the layout and can be used to group a collection of elements together to be re-used. | |
| The Box element is used to group or segment content elements together providing advanced placement options. | |
| Multicolumn inserts an element that displays as multiple columns which can be used to provide visual interest and vary the layout. Advanced options can be used to customize the design, number of columns, spacing and behaviour on mobile devices. | |
| Code is an advanced element that can be used write HTML and CSS to customize the design of the campaign layout. | |
| Dynamic Image is an advanced element that uses the inserted URL as the image source which enables changing the image at its source instead of within the campaign. |

Campaign Editor
The campaign editor offers all the tools and options needed to design a custom campaign layout.
- Campaign Details are conveniently displayed on the left-hand side of the editor, including the campaign title, available pre-made templates, and the date of the last modification.
- Select the
'Elements' icon to toggle the elements toolbar to expand or collapse.
- Click and drag an Element to place it into the layout.
- Placement Arrows will appear to assist with placing an element into the layout in relation to the position of another element.
- Edit an element to personalise its design and features using the available customisation options.
- The
'Details' icon includes contextual options to further customise the design and behaviour of the selected element.
- Select the
'Move' icon to relocate an element within the layout or select the
'Delete' icon to remove it from the layout.
- The
'Undo' and
'Redo' icons can be used to reverse a layout change.
- Select the
 'Save' icon to store changes made to the layout.Â
- The 'Code' element can be used to apply custom HTML and CSS to the email layout.
- The
'Export' icon will download a HTML file version of the email layout that can be viewed in the browser to preview the campaign.

Image Gallery
The Image Gallery is a repository of uploaded image files that can be easily accessed and reused in multiple eDM campaigns.
- Select an image element, then click one of the 'Image Gallery' icons
to open the gallery to choose or upload image files.
- Images in the gallery are grouped by Property.
- Select the
'Add' icon to upload a new image.
- Select an existing image and choose the
'Insert' icon to use the selected image in the image element.
- Select an existing image and choose the
'Delete' icon to permanently remove an image from the gallery.

Campaign Creation
- Navigate to EDM > Create Campaign.
- Select the
'Add' icon.
- Enter a Campaign Title.
(Max 50 Characters) - Input a Campaign Description. (Optional)
- Select a Template. (Optional)
- Click and drag an Element to place it into the email body.
- Select an Element to edit or customise.
- Use the
'Edit Element' icon to update the element.
- Employ the
'Details' icon to customise the design and behaviour of the element.
- Choose one of the 'Save' icons to store the changes made.

Send Test Campaign
Testing ensures that your campaign is polished, functional, and effective before it reaches your guests, minimising the risk of errors or mishaps that could damage your brand’s reputation.
- Navigate to EDM > Create Campaign.
- Highlight an existing Campaign.
- Choose the 'Edit' icon.
- Select the
'Test Send' icon.
- Enter at least one Email Address for the test send.
- Input up to 2 more Email Addresses for the test send. (Optional)
- Select the
'Send' icon to test the campaign.

Mailing List
A mailing list can be created in Report Writer by selecting criteria from the Guest Profile or Reservation Details, including Guest Statistics. Communication preferences can be recorded in the Guest Profile and incorporated into the validation criteria of the Report Writer template, ensuring the recipient list aligns with guest preferences and complies with GDPR.
Campaigns can then be targeted to specific recipient groups based on information in the Guest Profile, such as Guest Loyalty or Membership, Guest Classifications, Reason for Stay, or Guest Statistics.

Send Campaign
Report Writer is a robust tool that enables you to create custom reports, export data, and generate mailing lists based on any information stored in RMS.
- Navigate to EDM > Send Campaign.
- Choose an existing Report Writer Search Template or create a New Template.
- Select the 'Show Matches' button.
- Select the Checkbox for the recipients to include in the send-out.
- Choose 'Send Campaign' to email the campaign to the selected recipients.

Email Validation
Email Validation ensures the accuracy of email addresses in the Guest Profile when sending to more than fifty recipients via Report Writer or eDM campaigns. Each email address is assigned a validation date, which is recorded to prevent revalidation of already verified addresses. If the email address on a Guest Profile is modified or replaced, the validation date is reset.

Email Validation is prompted only when an email address lacks a validation date, and the recipient count exceeds fifty for a Report Writer or eDM campaign. This feature helps prevent high bounce rates from invalid email addresses, safeguarding your property’s email domain from being blacklisted or marked as spam due to sending bulk emails to unverified addresses.
- Enter a Campaign Name.
- Enter an Email Subject Line.
- Confirm the 'From Email Address'.
- Enter an alternate 'Reply-To Email' Address. (Optional)
- Enter a 'Sender Name'.
- Select a Campaign or Form Letter.
- Review the Campaign Preview.
- Select the
'Send' icon or
'Schedule' icon.

Domain Verification
Domain verification in RMS ensures that the correct DNS records are used when sending emails from the platform. It confirms that the user has access to an email address on the specified domain and is authorised to send emails from it.
The email domain is the part of the email address after the '@' symbol, and for most businesses, it matches the domain used for their website. Verifying the property’s email domain in RMS guarantees the correct DNS settings are applied when sending emails, and removes the "Sent from RMS on behalf of" message in the sender field for verified domains.
