How to setup and use the Opayo Payment Gateway in RMS
Overview
This article explains how to configure and use the Opayo payment gateway in RMS. This is useful when you need to securely process credit card payments, store tokens for guest profiles, and manage refunds directly from your property management system.
Opayo is a payment gateway available in RMS to provide PCI (Payment Card Industry) compliant credit card storage and payment processing.
Payment Gateways are eCommerce applications provided by merchant services to authorise and process credit card payments in a PCI-compliant manner. Connecting a payment gateway account with RMS provides secure credit card storage, payment processing, and refunds directly from within RMS.
Credit card payments and pre-authorisation tokens using Opayo require the card's CCV (Card Verification Value) and the cardholder's street number and post code or country.
If no country is entered when processing a payment via Opayo, the country will default to 'United Kingdom'.
Opayo Functions and Features
Opayo provides functionality across two transaction types: EFTPOS (Electronic Funds Transfer at Point of Sale) for card-present payments, and eCommerce for online card transactions. The table below outlines the key functions available in each category.

Transaction Type Definitions
EFTPOS (Electronic Funds Transfer at Point of Sale):
Electronic payments processed with the card present using a connected device
at the time of sale.
eCommerce:
All card transactions processed electronically via the Internet.
This includes payments processed in RMS with a credit card token or card details,
as well as payments processed via the RMS Booking Engine and Guest Portal.
Blind Refunds:
Blind refunds permit users to refund any nominated value through the
payment gateway to any available credit card token.
The ability to perform a blind refund must be enabled in the payment gateway
account prior to being enabled in RMS.
Setting Up Opayo in RMS
To set up Opayo as your payment gateway, follow these steps.
In the side menu of RMS, go to Setup > Property Options > Property Information.
- Select Edit on an existing Property.
- Navigate to the Payment Gateway tab.
- Select the Ecommerce toggle.
- Select Opayo (Hosted Payment) as the payment gateway.
- Enter the Merchant Number (provided by Opayo).
- Enter the Username (provided by Opayo).
- Enter the Password (provided by Opayo).
- Select the Pre Authorisation Calculation.
Select the checkbox 'Warn on check-in if no Pre Authorisation exists' (Optional). - Select Save/Exit.
Opayo Payment Processing
Payments processed via Opayo will open a secure window to complete the transaction.
Troubleshooting Opayo Payments
If you encounter issues when processing payments through Opayo, check the following:
- Payment declined: Verify that the cardholder's street number and post code (or country) are correct. Opayo requires this information for verification and will decline transactions if the details do not match the card issuer's records.
- Missing CCV error: Ensure the Card Verification Value (CCV) is entered. This three or four-digit code on the back of the card is required for all Opayo transactions.
- Token creation failed: Confirm that your Merchant Number, Username, and Password are entered correctly in the Payment Gateway settings. A $1 test charge will be applied to the card during token creation, so ensure the card has sufficient funds.
- Secure window not opening: Check that your browser allows pop-up windows. The Opayo payment window is opened in a new browser window and may be blocked by pop-up filters.
- Country defaults to UK: If the cardholder's country is not set, the system defaults to 'United Kingdom'. Manually select the correct country if required.
